Develop a workspace that supports the work they do. Be able to find files easily and clear out unnecessary paper files. Evaluate and modify the shared and individual workspace as required. Create a customised, integrated system for managing their work.
Learn to work through the backlog of shared and individual work and process it through the Workflow Model ©. Organise calendars to work together. Learn a system for tracking those ‘miscellaneous’ items. Clarify and plan projects. Clear out their heads of outstanding commitments. Process outstanding work into the right buckets. Gain confidence with individual and shared systems to track outstanding commitments.
Focus in on activities that are high priority in alignment with shared goals. Understand what areas distract from focusing on these goals and how to minimise them - including meetings, delegating, dealing with interruptions and diversions etc. Develop ways to keep the systems working for the exec and EA/PA in the long term.
